1. Scope and who we are
This Privacy Policy explains how SharpHeads Technologies Private Limited, operating as SharpHeads ("SharpHeads," "we," "us," or "our"), collects, uses, discloses, and protects personal information in connection with sharpheads.com, our public content, demo and contact requests, and related website communications.
SharpHeads is the controller or data fiduciary for personal information covered by this Policy. A separate customer agreement may identify additional or different privacy terms for a purchased product or service. This Policy does not govern a customer's own use of LeadGen OS, Hiring OS, or another SharpHeads system where SharpHeads processes information under that customer's instructions.
2. Information we collect
The information we collect depends on how you interact with us. It may include:
- Contact and business information: name, work email, company, role, country or region, product interest, and other details you choose to provide.
- Inquiry and communication information: demo requests, messages, scheduling details, replies, preferences, and our correspondence with you.
- Content and conversion activity: requested resources, subscriptions, content viewed, product-interest selections, and deliberate actions such as starting a demo request.
- Website and device information: page path, approximate device category, browser or operating-system class, language, referring domain, event timestamps, and similar technical data when collection is permitted.
- Attribution information: first landing page and UTM source, medium, campaign, content, and term values.
- Consent and preference records: reply permission, marketing choices, analytics choices, policy version, and the time a preference was recorded or changed.
- Security and abuse-prevention information:request metadata, rate-limit state, and a one-way technical hash used to identify repeated abusive submissions. Our website inquiry ledger does not store raw IP addresses.
Please do not submit sensitive personal information, confidential customer data, passwords, payment-card details, health information, government identifiers, or information about another person through a public website form.
3. How we collect information
We collect information:
- directly from you when you submit a form or contact us;
- automatically through the website and approved analytics technologies, subject to applicable consent requirements;
- from a separately consented visitor-identification provider if the planned observation-only pilot is activated; and
- from providers you choose to use, such as a scheduling or social platform; and
- from business referrals or public professional sources when someone introduces you to SharpHeads.
4. Why we use information
We use personal information to:
- respond to questions, inquiries, and demo requests;
- qualify and prepare for a requested business conversation;
- deliver a resource, subscription, or communication you request;
- operate, secure, troubleshoot, and improve the website and its forms;
- understand content, campaign, and conversion performance;
- maintain attribution, consent, suppression, and communication records;
- prevent fraud, spam, abuse, and unauthorized access;
- establish, exercise, or defend legal and contractual rights; and
- comply with applicable legal obligations.
Depending on your location and the activity, we rely on your consent, steps taken at your request before entering a contract, performance of a contract, our legitimate interests in operating and improving a secure B2B website, or compliance with law. Where consent is the basis, you may withdraw it at any time without affecting earlier lawful processing.
5. Cookies, analytics, and first-party measurement
SharpHeads uses complementary measurement paths: standard campaign reporting through Google Analytics 4, privacy-limited Google Ads conversion measurement, Microsoft Clarity for consent-controlled session replay, heatmaps, and website-experience diagnostics, and a first-party website ledger for limited visitor, session, content, and conversion events. We do not place names, email addresses, free-form messages, or other direct contact information in analytics or advertising event payloads.
Essential technologies may be used to remember privacy choices, protect forms, balance traffic, and provide requested website functions. Google Analytics and Microsoft Clarity load only after you allow website analytics. Clarity receives analytics storage permission but not advertising storage permission. Public inquiry and acquisition forms are explicitly masked from Clarity, and private administration and content-studio routes are excluded from optional analytics.
Advertising conversion measurement is a separate optional purpose. If you allow it, Google may store limited ad-click attribution and receive pseudonymous conversion-measurement signals for confirmed actions. SharpHeads does not send names, email addresses, form contents, or enhanced-conversion contact data in those events. Google Signals, remarketing, user-provided data collection, and ad personalization remain disabled. Global Privacy Control locks this advertising purpose and visitor identification off. You can change your choices through the cookie-preference control. Blocking any optional purpose will not prevent you from submitting an inquiry.
A random first-party browser or session identifier does not itself tell us your name or email. Outside the separately consented pilot described below, we connect website activity to a contact record only after you voluntarily identify yourself through a SharpHeads capture form.
6. Visitor identification pilot
SharpHeads is running a bounded, observation-only pilot using RB2B, a Retention.com service, to evaluate person-level and company-level matches for eligible United States traffic. International company tracking is disabled for the initial pilot. The RB2B script will not load unless you separately allow "Visitor identification and marketing." Analytics consent by itself is not permission for this purpose. Global Privacy Control locks the purpose off.
During the pilot, RB2B may use first-party cookies, device or network signals, IP-based location or company matching, and information from its permissioned data network. SharpHeads may receive business contact and company information, the page visited, referring host, and visit time. We keep the provider payload server-side, minimize the fields retained, and use the initial observation period to review match accuracy, ICP fit, intent, suppression, complaints, and meetings. RB2B documents first-party identification and attribution cookies, including some that may remain in the browser for up to one year. A company-level result is account-research evidence and does not prove that a named person visited. During observation-only mode, a match cannot automatically create outreach, a sequence, a Marketing OS handoff, or a LeadGen OS task. 7. Marketing and inquiry communications
Submitting an inquiry authorizes us to respond to that inquiry. It does not automatically subscribe you to unrelated marketing. Ongoing marketing consent is requested separately where offered or required. You may unsubscribe through the link in a marketing email or contact us at hello@sharpheads.com. We may retain a minimal suppression record so that we can continue to honor your choice.
8. How we disclose information
We may disclose personal information to:
- service providers supporting hosting, databases, email delivery, scheduling, analytics, consent-controlled visitor identification, security, and website operations;
- professional advisers such as lawyers, accountants, auditors, and insurers where reasonably necessary;
- authorities or other parties when required by law or reasonably necessary to protect rights, safety, and security; and
- a successor or transaction participant in connection with a merger, financing, reorganization, or sale of all or part of the business, subject to appropriate confidentiality protections.
Providers may process information only for the services they perform for us or as otherwise permitted by their contracts and applicable law. Current website infrastructure includes providers for hosting, database storage, email delivery, scheduling, and consent-controlled analytics, including Google Analytics and Microsoft Clarity, plus RB2B / Retention.com for the separately consented observation-only visitor-identification pilot.
9. Sale, sharing, and targeted advertising
SharpHeads does not sell personal information for money. As of the effective date, we do not use website activity to serve targeted advertising. Some privacy laws may define disclosure to or processing by a visitor-identification provider as a sale, sharing, or targeted-advertising activity even when no money changes hands. We therefore keep that purpose behind a separate choice, honor applicable browser opt-out signals, and provide a privacy-request channel. We will update this Policy and the available controls before materially expanding the pilot.
10. International processing
SharpHeads works across India, the United States, and other markets. Personal information may therefore be processed in a country other than the one where you live, including where our providers operate. Where applicable law requires it, we use contractual and organizational safeguards designed to protect information during international transfers.
11. Retention
We keep information only for as long as reasonably necessary for the purpose described above, including the following working schedule unless law, a dispute, security need, or customer agreement requires a different period:
- anonymous first-party visitor and event records: generally up to 180 days;
- visitor-identification pilot observations: generally up to 60 days during the initial observation period unless a shorter deletion or suppression requirement applies;
- website inquiries and captures that do not become a customer relationship: generally up to 24 months after the last meaningful interaction;
- marketing subscription records: while subscribed, followed by a minimal suppression record;
- consent, legal, and security records: as needed to demonstrate a choice, protect the service, or meet a legal obligation; and
- customer and transaction records: as stated in the applicable agreement and required by tax, accounting, and other laws.
We may retain aggregated or de-identified information that can no longer reasonably identify you.
12. Security
We use reasonable administrative, organizational, and technical safeguards designed to protect personal information. These include restricted server-side credentials, access controls, separation of public and non-public data, encrypted transport, validation, rate-limiting, and audit records where appropriate. No internet transmission or storage system can be guaranteed completely secure.
13. Your privacy rights
Depending on where you live, you may have the right to request access to personal information, correction, deletion, restriction or objection to processing, portability, withdrawal of consent, and details about how information is used or disclosed. You may also have the right to opt out of certain marketing, sale, sharing, or targeted-advertising practices and to complain to a competent data protection authority.
Residents of India may also have applicable rights to access information about processing, correct or erase personal data, withdraw consent, use a grievance process, and nominate another person as provided by applicable law. Residents of the European Economic Area or United Kingdom may object to direct marketing and lodge a complaint with their local supervisory authority. California and other eligible US residents may request the disclosures and choices provided by applicable state law. We will not discriminate against you for making a valid privacy request.
To make a request, email hello@sharpheads.comwith the subject "Privacy request." Tell us the nature of the request and the email address or interaction involved. We may ask for information reasonably necessary to verify your identity and authority. Authorized agents may submit requests where applicable law permits. Rights are subject to legal exceptions, and we will respond within the period required by applicable law.
You may also use Your Privacy Choices to change optional browser-level purposes. Where applicable, we treat a recognized Global Privacy Control signal as an instruction to keep advertising conversion measurement and visitor identification off.
14. Automated decisions
The public website does not make decisions based solely on automated processing that produce legal or similarly significant effects about visitors. We may use automation to route inquiries, prevent abuse, or recommend a follow-up, with human involvement in material commercial decisions.
15. Children
This is a business-to-business website and is not directed to children or anyone under 18. We do not knowingly collect personal information from children through the public website. Contact us if you believe a child has submitted information so that we can review and delete it where appropriate.
16. Third-party websites
The website links to third-party services, including scheduling, social, video, private product, and recruiting websites. Their privacy practices apply when you use their services. A link does not mean that SharpHeads controls the third party's handling of information.
17. Changes to this Policy
We may update this Policy as the website, providers, products, or legal requirements change. We will post the revised version and update the date above. If a change materially affects how we use information already collected, we will provide additional notice or seek consent where required.
